Email and contacts
Read your mail in Jackdaw, send through the assistant, and choose whose mail the brain keeps.
Before you start
Connect a mailbox first. See Connect email.
Contacts are the gate
Your contacts decide whose mail comes in and who the assistant may email.
- Mail is stored only when it comes from a contact, or from one of your own logins.
- The assistant sends only to contacts and your own addresses.
- Remove a contact and both stop.
Each contact holds one or more email entries. An entry is a full address (sam@example.com) or a whole domain (@example.com, anyone there). A domain entry does not cover sub-domains.
Add a contact
- Open Contacts and create a contact.
- Fill in the name, company and one email entry per row.
- Write a Description: who this is, for the AI. For example: “Our electrician. Only works Tuesdays.”
- Save.
Their new mail starts arriving, and the last 90 days of their mail is fetched in the background.
You can also tell the assistant: “Add Sam at Acme, sam@example.com.”
Find senders you missed
Discover (under Review, or Discover senders on the Email screen) lists recent senders who are not contacts yet. Add one with a click. It reads your mailbox live and stores nothing until you add someone.
Read mail
Email shows stored mail by account and folder. Attachments are read too, so a PDF quote is searchable by its contents.
Ask the assistant about the content, not the message:
- “What did Sam quote for the roof?”
- “Summarise this week’s mail from Acme.”
Send mail
Jackdaw has no compose window. Ask the assistant:
- “Reply to Sam and say Tuesday works.”
- “Email Sam the Site Handover page.” (sends the page as formatted HTML)
Mail goes out through your own provider, from your own address. Sending needs your approval by default: each email waits in Pending until you approve it.
If it fails
- Someone’s mail is missing: they are not a contact, or their entry does not match the address they send from. Check Discover.
- The assistant refuses to send: the recipient is not a contact. Add them first.
